4. Starting a Trip
1Pre-Trip Checklist (Optional but Recommended)
Before starting: Inspect your truck
- On the trip detail page, scroll to "Pre-Trip Check" section
- Fill in checklist:
- ✓ Vehicle is clean
- ✓ All tires have good tread
- ✓ Lights & signals working
- ✓ No visible damage
- Note odometer starting reading
- Click "Submit Pre-Trip Check"
- This creates a record for compliance & liability
2Start the Trip
- On a trip marked "Ready to Start" or "Scheduled"
- Click the green "Start Trip" button
- Confirm: "Yes, start this trip now"
- Trip status changes to "In Progress" ✓
- GPS tracking begins automatically
💡 Tip: Start your trip when you're actually ready to head to the pickup location. Don't start it hours early. GPS tracking and timer officially begin.
5. GPS Tracking & Live Location
✓ Why GPS: Both the hauler and shipper can see your real-time location on the trip map. This builds trust and helps them plan for arrival.
How GPS Works
- Once you start a trip, your phone's location is tracked automatically
- Updates sent every 30–60 seconds (depending on network/settings)
- On the trip map, your truck shows as a blue dot moving in real-time
- Shipper and dispatcher can see your exact location & ETA
⚠️ Important:
- Enable location permission for the app in your phone settings
- Keep your phone on during the entire trip
- Don't disable location services or airplane mode
- Keep 4G/LTE or WiFi connected
View Your Location
- On trip detail page, there's a "Show Map" button
- See the route, your location (blue dot), pickups (red), dropoffs (green)
- Swipe down to see "Current Route & ETA":
- Distance remaining
- Estimated arrival time
- Speed (if available)
6. Pickup & Delivery
1At Pickup Location
- Arrive at the pickup address (listed in trip details)
- Contact the shipper (phone/email in trip info)
- Supervise loading of animals into your trailer
- Once loaded, on the trip page, find the load and click "Upload Pickup Photos"
- Take photos of:
- Animals in the trailer from multiple angles
- Trailer condition, ventilation openings
- Overall view of the loaded truck
- All photos upload with automatic timestamp ✓
💡 Pickup Best Practices:
- Take photos from different angles (side, front, rear)
- Show the condition of animals (no visible injury should be noted)
- Ensure ventilation is adequate
- Verify headcount matches what's on the paperwork
2During Transit
Follow all animal welfare requirements:
- Temperature control — Ventilate trailer as needed
- Rest stops — Stop every X hours (specified in trip notes) for animals to rest, drink water
- Speed — Drive smoothly to minimize stress on animals
- Communication — Message dispatcher if issues arise (heat stress, delay, etc.)
3At Delivery Location
- Arrive at the dropoff address
- Contact the receiver (phone/email in trip info)
- Supervise unloading of animals from your trailer
- Once completely unloaded, on the trip page, click "Upload Delivery Photos"
- Take photos of:
- Animals being unloaded from the trailer
- Condition upon arrival (any visible issues noted)
- Empty trailer (to confirm all animals delivered)
- Fill in Receiver Details:
- Name of person receiving the animals
- Their signature (digital or handwritten photo)
- Any notes (e.g., "All animals in good condition")
- Click "Confirm Delivery"
✓ After you confirm delivery:
- Trip status changes to "Delivered"
- Your hauler gets notified
- Shipper reviews photos and confirms (or raises dispute if issue)
- You get paid for the trip (handled by your hauler)
⚠️ Document Any Issues:
- Dead or injured animals → take photos, note in delivery notes
- Delayed arrival → explain reason (fuel stop, traffic, mechanical, etc.)
- Receiver refused animals → contact dispatcher immediately, take photos
- Contact hauler/dispatcher right away if something unexpected happens
7. Logging Expenses
Add Expenses to Trip
- On the trip detail page, find "Expenses" section
- Click "+ Add Expense"
- Fill in:
- Category: Fuel, Tolls, Food, Washout, Repairs, Misc
- Amount: Cost in dollars
- Description: Optional details (e.g., "Diesel fill-up at Pilot")
- Receipt Photo (optional): Upload photo of receipt
- Click "Save Expense"
💡 Expense Tracking: Keep receipts for all expenses. Your hauler may reimburse you, and these records help with tax deductions if you're a contractor.
8. Safety & Support
Emergency Contact
- If you have an mechanical emergency or animal welfare concern during a trip:
- Click "Message Dispatcher" on the trip page
- Explain the issue immediately
- Or call your hauler directly
Document Everything
- Always take clear photos at pickup and delivery
- Note any injuries or deaths in delivery notes
- Keep receipts for expenses
- Keep a record of arrival/departure times
✓ That's it! You're now ready to execute trips for your hauler. Safe drives and well cared for livestock means successful deliveries!
